Registration Contract
A $100 non-refundable deposit per child, per session, must be submitted with the Registration Contract in order to reserve a spot for each child and will be applied to the cost. The balance must be paid in full by June 1, 2012. After June 1st, full payment is required with each Registration Contract. There is a $10 change fee for switching programs. The Registration Contract is binding and by signing it the patron is responsible for full payment of all fees, even if the child(ren) stop attending, except in cases of illness or injury. No refunds are given for absenteeism due to change in family plans, vacation, or similar reasons.
Refund Policy
No refunds after June 1, 2013. In cases of sickness or injury, fees will be prorated with a required doctor’s note. We reserve the right to dismiss a child without refund if conduct is detrimental to his well being or the well being of any other child or staff. The parent accepts these terms by signing the Registration Contract.
Medical Forms
We are required by county law to have a medical form, with immunization record, which must be completed by both a parent and a doctor, on file before the child begins camp. The medical form is included in the brochure and online. Failure to submit a completed medical form to the camp will result in a refusal to allow the child to attend camp. In an attempt to regulate this issue, we will not allow children to be dropped off at carline if we do not have the medical form in hand. Only medical exams after July 1, 2011 will be accepted.
Lost or Stolen Property
Please mark all clothing with nametags. If your child loses something please call the Summer Programs office 631-751-1800 ext. 595 and plan to retrieve the item promptly. Items will be donated to charity after the last session. We assume no responsibility for lost or stolen property and discourage children from bringing anything of value, such as jewelry, money, or expensive clothing, to camp.
Accident Insurance
Each child is covered by accident insurance. This limited benefit coverage is secondary to parent’s primary medical insurance. After a $25 deductible, the policy will pay for medical bills incurred while your child is at camp, provided any and all other parent’s medical insurance has been exhausted.
Drop-off and Pick-up Procedures
For the safety of all children, a counselor will escort your child to and from your vehicle as you drop-off or pick-up on Chapman Parkway. If you need to stay for any time, please park in the lot behind Johnston Hall, which is accessible from Cedar Street. If you drop off a child early (before 8:00) or pick a child up late (after 4:00), the child will be put in the Extended Day Program and you will be required to pay the fees incurred.
Extended Day
The Extended Day Program is designed with the working family in mind. If a parent needs to bring a child to Summer Programs early Extended Day is available from 7 to 8 a.m. Likewise, if a child needs to be picked up after the program is over Extended Day is available from 4 to 6 p.m. There is a $7 an hour or $100 per session charge for this service. Please only pre-pay if you intend on using 15 hours or more of this service.
Prohibited Items
MP3 players (iPods) and electronic games are not permitted. Cell phones may not be used during camp, and shoes with wheels may not be worn. The use of tobacco, alcohol, and drugs by children and staff is strictly prohibited on The Stony Brook School campus.
Please Note:
- We reserve the right to cancel any program due to lack of registration or any unforseen circumstances.
- We reserve the right to move any child to another program based on maturity level and age.
- Printing errors occasionally occur despite all efforts to ensure accuracy. We are not responsible for typographical errors.
- As a nonprofit institution, The Stony Brook School is not required to provide a taxpayer identification number. On any form requiring such a number, you may enter “Tax Exempt.”
